Belle Clinic Terms and Conditions

Welcome to Belle Clinic. By booking an appointment, enrolling in a course, or accessing our website, you agree to these Belle Clinic Terms and Conditions, which govern the use of our services, treatments, courses, and website.


1. General Information

  • Belle Clinic is based in North West London, offering laser, non-laser, and aesthetic treatments, as well as VTCT beauty training courses and CPD-certified aesthetic courses.
  • All treatments are conducted by highly trained and certified technicians to ensure professionalism, safety, and quality.

2. Booking Appointments

  • Appointments can be booked online, by phone, or in person.
  • A deposit may be required to secure your booking. The deposit will be deducted from the total treatment cost if the consultation and treatment are performed on the same day.
  • Special offers or packages must be mentioned at the time of booking.
  • Belle Clinic encourages clients to book follow-up sessions while they are in the clinic to ensure continuity of care. If this does not happen, the responsibility for booking follow-up sessions lies with the client, not the clinic.

3. Cancellation and Rescheduling Policy

  • A minimum of 48 hours’ notice is required for cancellations or rescheduling.
  • Cancellations made with less than 48 hours’ notice may result in the loss of your deposit.
  • No-shows will incur a £25 fine.
  • Each booking is allowed one free reschedule to avoid disruption to Belle Clinic’s schedule. Excessive rescheduling may lead to financial loss for Belle Clinic, and further rescheduling will be chargeable.

4. Consultation and Consent

  • All new clients must attend a consultation to assess suitability before undergoing any treatment.
  • Clients must provide accurate medical information during the consultation. Failure to disclose relevant information may result in appointment cancellation.
  • A signed consent form is mandatory before any treatment begins.

5. Client Conduct

  • Belle Clinic reserves the right to cancel any appointment if a client’s behavior is deemed disrespectful, aggressive, or inappropriate toward staff or technicians. Such behavior may result in the loss of the deposit.
  • We strive to maintain a professional and respectful environment for all staff and clients. Disruptive behavior will not be tolerated.

6. Treatment Suitability and Results

  • Treatment suitability is assessed during the consultation. Belle Clinic reserves the right to refuse service if a treatment is deemed unsuitable.
  • No results are guaranteed. By undergoing a treatment, you acknowledge that Belle Clinic will deliver the service to the highest standard to achieve the best outcome.
  • Clients are responsible for adhering to aftercare instructions, which will be sent automatically via our online signing platform. It is the client’s responsibility to ensure their email address is correct and to contact Belle Clinic if the instructions are not received.
  • Belle Clinic is not responsible for complications arising from failure to follow aftercare instructions.

7. Botox Reviews and Top-Ups

  • Botox reviews must be scheduled within two weeks of the initial treatment. Fee applies for top-ups.
  • If you fail to schedule a review within the specified timeframe, Belle Clinic is not responsible for adjustments. As most clients do not require a top-up, it is the client’s responsibility to contact us.

8. Pricing and Payments

  • Prices are subject to change. Clients will be informed of any updates at the time of booking.
  • Full payment is required on the day of the treatment unless prior arrangements have been made.
  • Accepted payment methods:
    • Cash (no additional fees)
    • Bank transfer (no additional fees)
    • Card payments (subject to a 3.5% administrative fee).
  • For beauty courses, a £500 deposit is required upon registration. This deposit is non-refundable, and the remaining balance must be paid in full before course materials are provided.

9. Refund Policy

  • Refunds are not available for completed treatments or courses.
  • Deposits are non-refundable if you client cancel before 48 hours (open days) unless Belle Clinic cancels the appointment.
  • For prepaid treatment courses: if you choose to cancel, you will be charged at the standard rate for treatments already received, and the remaining balance will be refunded.

Belle Clinic Injectables Treatment Policy

At Belle Clinic, we aim to provide all clients with high-quality, safe, and professional aesthetic treatments. This policy outlines our terms regarding injectable treatments including but not limited to Botox®, dermal fillers, skin boosters, fat dissolving injections, and other similar procedures.

Please read the following carefully before booking or undergoing any injectable treatment:


1. Non-Refundable Policy for Injectables

Once an injectable treatment has been performed, it is non-refundable. This is because:

  • The products (such as botulinum toxin and dermal fillers) are single-use, prescription-only, and cannot be returned once opened or administered.
  • These treatments involve irreversible use of materials, and the results vary depending on individual anatomy and response.

This policy is in line with current UK industry standards and Consumer Rights regarding personalised and perishable services.


2. Botox® Top-Up Policy

Botulinum toxin (Botox®) top-ups are not automatically included in the initial treatment price. If a top-up is required:

  • There is an additional charge, starting from £100.
  • The final cost depends on the amount of product needed during the top-up.

We will always assess your results during your review appointment (if booked within the standard review timeframe) and advise you transparently on any further product or cost involved.


3. Dissatisfaction with Botox® Results

We understand that individual results can vary. If you are dissatisfied with the outcome of your Botox® treatment, please consider the following:

  • If the result is not due to any negligence or error by our practitioner, no refund will be issued.
  • We will offer advice or, if appropriate, an additional corrective session at your expense—but this will also be non-refundable.
  • We are committed to helping you achieve a satisfactory outcome wherever possible, within safe and professional boundaries.

4. Dissatisfaction with Dermal Fillers or Other Injectables

All dermal fillers and other injectables administered on the face or body (e.g., lips, cheeks, jawline, smile lines, chin, body contouring etc.) are non-refundable. Please be aware:

  • Belle Clinic does not guarantee specific aesthetic results, as outcomes can differ based on skin type, facial anatomy, lifestyle, metabolism, and other individual factors.
  • Dissatisfaction based on personal expectations that do not result from professional error does not qualify for a refund.
  • Corrective treatments may be discussed, but will be subject to additional costs if applicable.

5. Our Professional Commitment

At Belle Clinic, your safety and satisfaction are at the heart of what we do. We use licensed, premium-grade injectable products, and all treatments are carried out by qualified aesthetic professionals. Before every treatment, a full consultation is provided where:

  • Treatment goals are discussed
  • Consent forms are completed
  • Aftercare advice is clearly explained
  • Risks and limitations are disclosed

We encourage you to ask questions and raise any concerns prior to treatment to ensure you are fully informed and comfortable with your decision.


6. What Happens If a Problem Occurs After Your Injectable Treatment?

If you experience an issue after your treatment:

  • We urge you to contact us immediately so we can assess your concern.
  • We will make every reasonable effort to resolve or correct the issue where possible.
  • However, please understand this does not entitle you to a refund, unless it can be proven that malpractice or negligence has occurred—something we take extremely seriously and guard against with rigorous training and protocols.

7. Legal and Ethical Standards

Belle Clinic complies fully with all relevant UK guidelines and legislation, including:

  • The General Product Safety Regulations
  • CQC (Care Quality Commission) and MHRA expectations regarding the use of injectable products
  • Industry guidance set by Health Education England (HEE) and aesthetic training bodies

By booking an injectable treatment with Belle Clinic, you confirm that you have read and understood this policy and agree to proceed under these terms.


10. Health and Safety

  • For your safety and ours, please follow all instructions provided by our team.
  • Contact us immediately if you experience any adverse reactions following a treatment.
  • Clients under the influence of alcohol or drugs will not be treated.

11. Damage Responsibility

  • Any damage to Belle Clinic’s property caused by clients or students is their responsibility. The client or student will be liable for the cost of repairs or replacement.

12. Privacy and Confidentiality

  • Belle Clinic values your privacy and handles personal and medical information in accordance with GDPR regulations.
  • Please refer to our Privacy Policy for additional details.

13. Use of Website

  • The website may only be used for lawful purposes.
  • Belle Clinic reserves the right to update services, pricing, and terms without prior notice.
  • External website links are provided for convenience and do not imply endorsement.

14. Liability

  • Belle Clinic is not liable for damages, injuries, or losses arising from failure to follow aftercare instructions or provide accurate medical information.
  • Liability is limited to the cost of the treatment provided.

15. Complaints Procedure

  • We are committed to delivering exceptional service. If you have a concern or complaint, please contact us directly, and we will aim to resolve it promptly.

16. Governing Law

  • These Terms and Conditions are governed by the laws of England and Wales.

  • Clients are responsible for scheduling follow-up sessions if these are not booked during their clinic visit.
  • Belle Clinic reserves the right to cancel appointments if clients behave inappropriately or disrespectfully toward staff, which may result in the loss of the deposit.
  • Clients or students causing damage to Belle Clinic property will be held responsible for the cost of replacements.

Belle Clinic Beauty Courses – Training Policy

At Belle Clinic, we deliver VTCT-accredited, ProQual Regulated and CPD-approved training courses designed to prepare you for success in the aesthetics and beauty industry. We value your commitment and take our training responsibilities seriously. Please review the following policies carefully before enrolling:


1. Regulated or Accredited Course Registration – No Refund Policy

Please note: Once the learner has been given access to course materials and joined our Google Classroom, the course fee is strictly non-refundable.

  • Non-recoverable registration and certification fees paid directly to VTCT/Proqual on your behalf.
  • Allocation of teaching time, models, materials, and course resources.

Please ensure you are ready to proceed before your registration is processed.


2. Cancellation before access to the course materials

If you decide to cancel before access to the course materials, a £150 administration fee will be deducted from any course payments. This fee covers:

  • Booking administration
  • Consultation time
  • Initial preparation costs

The remainder of your payment may be refunded or held as credit toward another course, depending on the circumstances.


3. Missed Lessons and Attendance Policy

At Belle Clinic, every training session is scheduled and staffed with qualified educators, models, and resources in advance. Therefore:

  • If you miss a class without giving at least 7 days’ notice, no replacement or repeated lesson will be offered.
  • This is because we cannot cover the cost of rescheduling or pay instructors twice for a session that was originally arranged for you.
  • Non-attendance without valid notice is considered a forfeited session, and you will be required to continue with the next available class in your course structure (where applicable).

Please respect the schedule and plan ahead to ensure full participation.


4. Responsibility for Equipment and Products

During training:

  • All students must handle Belle Clinic equipment and products with care.
  • Any damage caused by misuse or negligence will be the student’s financial responsibility.
  • Students will be expected to pay for the repair or replacement of any tools, devices, or consumables damaged while under their care.

We teach in a professional environment and expect the same level of responsibility from every learner.


5. Conduct and Expectations

All students are expected to:

  • Arrive on time and prepared for all training sessions
  • Comply with health, hygiene, and safety protocols
  • Show respect toward staff, clients, models, and fellow students

Failure to uphold these standards may result in disciplinary action or removal from the course without refund.
